Choosing a CRM in India: Zoho, HubSpot, Salesforce and 2 More Compared
A decision guide for Indian teams choosing between Zoho CRM, HubSpot, Salesforce, LeadSquared and Freshsales, with a comparison table and the data residency facts each vendor actually publishes.
The short answer
The right CRM for an Indian business depends on how it sells, not on brand. Zoho CRM suits cost-conscious teams wanting a free entry edition and an India data centre. HubSpot suits inbound, marketing-led teams. LeadSquared suits high-volume telecalling and field sales. Salesforce suits complex enterprises with admin capacity. Freshsales suits teams wanting quick setup with built-in calling. Pilot two options with real leads before signing.
Key takeaways
- Choose a CRM by mapping your sales motion (inbound, high-volume telecalling, field sales or complex enterprise) before comparing features.
- Zoho lists a dedicated India data centre on the zoho.in domain, assigned by IP at signup, and Freshworks lists India among its data centre locations.
- HubSpot's published hosting locations are the US, EU (Germany), Canada and Australia, with no India region listed as of November 2026.
- The DPDP Act permits cross-border transfers unless the government restricts a country; no restricted list had been notified by October 2026, but sector regulators such as the RBI can be stricter.
- Freshsales dropped its free plan in July 2026, leaving a 21-day trial; Zoho CRM still offers a free edition for up to three users.
To choose a CRM in India, first name your sales motion: inbound and content-led, high-volume telecalling, field sales, or complex enterprise. Then shortlist the two platforms built for it, pilot them with real leads and your WhatsApp workflow for a week, and price three full years. In short: Zoho CRM for broad, low-cost coverage with India hosting; HubSpot for marketing-led pipelines; LeadSquared for high-velocity B2C sales; Salesforce for complex enterprises; Freshsales for quick setup. Most failed CRM projects in India are not bad software; the tool simply did not fit how the business sells, so reps keep following up in WhatsApp and Excel.
A customer relationship management (CRM) system is the database and workflow layer that records every lead, contact, deal and interaction, and automates what happens next. If you are still mapping the tools around it, start with our guide to building a MarTech stack for a small Indian business.
Which sales motion are you actually running?
Most Indian businesses run one of four patterns, and each CRM is strongest in one or two of them. Buying for the wrong pattern shows up as low adoption rather than as a line item.
- Inbound and content-led: leads arrive from search, social and the website; marketing nurtures them; sales closes fewer, considered deals. Common in B2B services, SaaS and agencies.
- High-volume telecalling: hundreds or thousands of leads a day from Meta lead forms, aggregators and WhatsApp, worked by calling teams with strict response targets. Common in education, lending, insurance, real estate and healthcare.
- Field sales: reps visit customers, log check-ins, take orders and need a mobile app that copes with patchy networks. Common in manufacturing, distribution and pharma.
- Complex enterprise: long cycles, many stakeholders, territories, approvals, CPQ and ERP integration.
How do Zoho, HubSpot, Salesforce, LeadSquared and Freshsales compare?
Each leads in a different sales motion, and only Zoho, Freshworks and Salesforce publish an India hosting option. We have left out list prices, which change often; read them on each vendor's site on the day you buy.
| CRM | Core strength | Best fit in India | Entry tier | India data hosting (as published) |
|---|---|---|---|---|
| Zoho CRM | Broad customisation and a deep suite (Books, Desk, Campaigns) at a low entry cost | SMBs and mid-market teams wanting one vendor for CRM, finance and support | Free edition for up to three users; paid Standard to Ultimate | Dedicated India data centre on zoho.in |
| HubSpot | Marketing, CMS and CRM on one record; ease of use | Inbound, content-led B2B and services teams | Select free CRM tools; seat-based Professional and Enterprise; CRM features bundled with Starter hubs | No India region listed (US, EU, Canada, Australia) |
| Salesforce | Depth, configurability, ecosystem and governance | Large or fast-scaling firms with complex processes and admin capacity | Paid editions; complex rollouts often use a partner | Hyperforce available in India since 2020 |
| LeadSquared | High-velocity lead distribution, telecalling and field operations | Education, BFSI, healthcare, real estate and other high-volume B2C sales | Paid plans; confirm tiers with the vendor | Hosted on AWS across multiple regions, not named publicly; ask |
| Freshsales | Fast setup, built-in phone and email, Freddy AI | SMB sales teams wanting a clean pipeline without heavy admin | 21-day trial, then paid tiers (free plan dropped July 2026) | Freshworks lists India among its data centres |

What should you know about each CRM platform?
Zoho rewards teams with a configuration owner, HubSpot rewards marketing-led teams, Salesforce rewards complexity, LeadSquared rewards volume, and Freshsales rewards simplicity.
Zoho CRM
Zoho's strength is breadth at a low entry point. Its edition guide describes a free edition for up to three users, with Blueprint process enforcement, CPQ and customer portals at Professional, and territory management and sandbox testing at Enterprise. The catch: customisation freedom becomes customisation debt if nobody owns the configuration. Zoho assigns your data centre by IP at signup, so if India hosting matters, sign up from India and confirm the zoho.in domain after login.
HubSpot
HubSpot is easiest to adopt when marketing drives the pipeline, because forms, email, landing pages and deals sit on one contact timeline. Its Smart CRM pricing page sells Professional and Enterprise as seat-based editions, with Smart CRM features included in any Starter, Professional or Enterprise hub. Costs rise with seats and contacts, and there is no India hosting option, which matters if a regulator or enterprise client asks.
Salesforce
Salesforce wins when processes are genuinely complex: multiple business units, territories, approval chains and heavy integration. It also expects a trained administrator or partner. For a 10-person team with a simple pipeline, that overhead rarely pays back.
LeadSquared
LeadSquared is built around the high-velocity pattern common in India. Its homepage highlights a distribution engine that routes leads to the right rep, field operations tools, AI calling and WhatsApp as a channel, with financial services, education, healthcare and manufacturing among its industries. If your team makes hundreds of calls a day and response time decides revenue, shortlist it early.
Freshsales
Freshsales is quick to stand up, with built-in phone and email and the Freddy AI assistant. A pricing-change tracker recorded the free plan for up to three users disappearing from the Freshsales pricing page on 21 July 2026, leaving a 21-day trial as the free entry point.
Does India require CRM data to be stored in India?
Not as a general rule. The DPDP Act permits cross-border transfers unless the government restricts a specific country, and no such list had been notified as of autumn 2026. Sector regulators can be stricter.
Section 16 of the Digital Personal Data Protection (DPDP) Act takes a negative-list approach. King Stubb and Kasiva's analysis, last updated in October 2026, notes that no restricted-country list had been notified, that these provisions are expected to take effect on 13 May 2027, and that sectoral rules are preserved: the RBI, for example, requires payment system operators to store payment system data in India. Most DPDP duties on businesses, including notice, consent and security safeguards, also apply from 13 May 2027, as Privacy Labs explains. Our DPDP Act guide for marketers covers consent and notice.
Even where India hosting is not required, it can be commercially useful: enterprise and government buyers increasingly ask, and an India-hosted option shortens procurement.
What India-specific integrations should a CRM have?
Most Indian teams need WhatsApp Business Platform integration, lead sync from Meta forms and marketplaces such as IndiaMART, telephony, GST-ready quotes and a usable Android app. Test each in the pilot, not the demo.
WhatsApp costs now matter to CRM choice. From 1 October 2026, free-form service replies on the WhatsApp Business Platform became chargeable after the first 1,000 service messages per business number each month, as respond.io explains. Check whether the CRM's WhatsApp connector passes Meta's rates through or adds a markup, and whether it logs every message to the contact record. Our guide to WhatsApp chatbots for Indian businesses covers the channel in depth.
How do you run a CRM selection in two weeks?
Write the process on one page, set five non-negotiables, pilot two platforms with real leads, score adoption, and price three years.
| Days | Step | Output |
|---|---|---|
| 1 to 2 | Write the sales process on one page | Lead sources, stages, owners, response targets, definition of a qualified lead |
| 2 to 3 | List five non-negotiables | For example WhatsApp, IndiaMART or Meta lead sync, GST quotes, telephony, Android app |
| 3 to 4 | Shortlist two platforms | Two that match your sales motion; three is the most anyone evaluates properly |
| 5 to 11 | Pilot with real data | 200 to 500 real leads, one live lead source, one messaging channel, two reps |
| 12 to 14 | Score adoption and price three years | Did reps log activity unprompted? Full cost including seats, add-ons, implementation and admin time |
Common mistakes we see: choosing on a demo built by the vendor, importing dirty data and blaming the CRM, and skipping the three-year price, where add-ons for telephony or WhatsApp often decide the real cost.
How we approach this at Old Port
We start CRM projects with the sales process, not the vendor shortlist. We sit with the people who answer leads, map what actually happens to a lead in the first hour, and only then shortlist. We prefer the simplest platform that covers the five non-negotiables, because adoption beats features, and we keep account ownership and data exports with the client. Once the CRM is chosen, its value comes from the automations on top: our walkthrough of seven marketing automation workflows is the next step, and our MarTech and automation team can run selection and implementation. If you also sell into the Gulf, our UAE colleagues cover lead generation and performance marketing in the UAE.
Frequently asked questions
Which CRM is best for a small business in India?
There is no single best CRM. Zoho CRM is a strong default for cost-conscious small businesses that want an India data centre and a free edition for up to three users. HubSpot suits marketing-led teams, LeadSquared suits high-volume telecalling and Freshsales suits quick setup. Choose based on how your team sells, then pilot two options with real leads before committing.
Does HubSpot store data in India?
Not as of November 2026. HubSpot's data hosting FAQ lists the United States (Virginia and Oregon), the European Union (Germany), Canada and Australia as its hosting locations. India is not listed. If India hosting is a contractual or regulatory requirement, consider platforms that publish an India region, such as Zoho or Freshworks, and confirm the arrangement in writing.
Is data localisation mandatory for CRM data under the DPDP Act?
No general localisation rule exists. Section 16 of the DPDP Act allows cross-border transfers unless the government restricts specific countries, and no restricted list had been notified as of October 2026. Sector regulators can impose stricter rules, such as the RBI requiring payment system data to be stored in India, so regulated businesses should check their own sector.
Is LeadSquared better than Salesforce for Indian sales teams?
For high-volume B2C sales such as education admissions, lending or insurance, LeadSquared is built around lead distribution, telecalling and field apps, and usually needs less configuration. Salesforce is stronger for complex enterprise processes with territories, approvals and heavy integrations, but typically requires a trained administrator or implementation partner to get full value.
How long does a CRM implementation take?
A focused small-business rollout with one pipeline, two or three lead sources and basic automations typically takes two to six weeks, including data cleaning and training. Multi-team or enterprise implementations with integrations to ERP, telephony and messaging take longer. The biggest variable is how clearly the sales process is defined before configuration begins.
Is Freshsales still free?
Not for new sign-ups. A pricing tracker recorded the free plan for up to three users disappearing from the Freshsales pricing page on 21 July 2026, leaving a 21-day trial of the full CRM as the free entry point. If a free tier matters, Zoho CRM still lists a free edition for up to three users, and HubSpot offers select free CRM tools.
